01The agreement

02What Pawfile is

Pawfile helps you keep your pets’ records in one place: vaccinations, medications and dose logs, feeding plans, weight, vet visits, uploaded documents and reminders. It also lets you share a read-only pet-sitter card and, on the Family plan, invite co-carers.

Pawfile is not veterinary advice

Pawfile is a record-keeping tool. Nothing in it is veterinary or medical advice, diagnosis or treatment. Always follow your vet’s instructions, including on doses and schedules.

In an emergency, call a vet

If your pet is unwell or injured, contact a vet or an emergency animal clinic immediately. Don’t wait for, or rely on, anything in Pawfile.

Reminders can fail

Reminders, the Today checklist and email digests may be late, missed or never arrive (for example because of email delivery problems, wrong timezone settings or outages). They are a helpful extra, not a guarantee. You remain responsible for your pet’s care.

You are responsible for the accuracy of what you enter, including doses, dates and contact details. We don’t check records for correctness.

03Your account

  • You must be at least 16 years old to use Pawfile.
  • Give us accurate information and keep your email address current, so you can reset your password and receive receipts.
  • Keep your password secure. You are responsible for activity under your account.
  • Tell us at [email protected] if you think someone has accessed your account without permission.

  • You can cancel at any time in Settings. Cancellation takes effect at the end of the current billing period, and you keep paid features until then.
  • We email you a receipt for every payment.
  • 14-day refund: if you’re not happy with your first payment, email [email protected] within 14 days of it and we’ll refund it in full.
  • If you downgrade or a paid plan ends, you keep all your data. You won’t be able to add pets beyond the Free limit or use features of the higher plan.
  • If we change prices, we’ll tell you in advance; the new price applies from your next renewal after the notice.

Card details

Payments are processed by our payment provider. We store only the card brand, last 4 digits, expiry, cardholder name, country and postal code, never the full card number or CVC.

05Sitter cards and co-carers

Pet-sitter card

A sitter card is a read-only page at a random private link. Anyone who has the link can view it without signing in. You decide who gets the link, and you can switch the card off or regenerate the link at any time. See the Privacy Policy for exactly what it shows.

Co-carers

On the Family plan you can invite co-carers with an invite link that expires after 7 days. Co-carers get full access to that pet’s records and documents and can add and edit records, but they can’t delete the pet. You can remove a co-carer at any time. By inviting someone, you confirm you’re happy for them to see everything about that pet.

You choose who sees what

Only share links with people you trust. Anything a person has already seen or copied can’t be taken back by switching a link off.

06Your content

You own the records, photos and documents you add (“your content”). You give us a limited licence to store, process, display and transmit your content only as needed to run Pawfile for you, including showing it to the people you share it with.

You confirm that you have the right to upload your content and that it doesn’t include other people’s personal data without a valid reason. Only upload documents you’re comfortable storing with us.

You can export your data as JSON at any time in Settings, and print a pet’s health record from the print view.

07Acceptable use

You must follow our Acceptable Use Policy. In short: nothing illegal, no malware, no abuse of sitter links or invites, no scraping or load-testing, and no using Pawfile in connection with animal cruelty or illegal animal trade.

08Ending things

You can delete your account at any time in Settings. This immediately deletes your account, all pets you own, their records and uploaded files; backups are purged within 30 days. Deleting your account doesn’t cancel charges already made, but no further renewals will happen.

We may suspend or close accounts that seriously or repeatedly break these Terms or the Acceptable Use Policy, or where the law requires it. Where reasonable, we’ll warn you first and give you a chance to export your data.

09Availability and changes

We work hard to keep Pawfile running, but we don’t promise it will always be available or error-free. We may change, add or remove features. If we discontinue Pawfile entirely, we’ll give you at least 30 days’ notice to export your data and refund any unused prepaid period.

10Disclaimers and liability

To the extent the law allows, Pawfile is provided “as is”. We are not responsible for decisions about your pet’s care made on the basis of records or reminders in Pawfile, or for missed or late reminders.

To the extent the law allows, our total liability to you for any claim is limited to the greater of the amount you paid us in the 12 months before the claim and US$50. We are not liable for indirect or consequential losses.

Nothing in these Terms limits liability that cannot be limited by law, such as liability for death or personal injury caused by negligence, or for fraud.

11Governing law

These Terms are governed by the laws of the Hong Kong Special Administrative Region, and the courts of Hong Kong have jurisdiction over disputes.

Consumer protections still apply

If you are a consumer, you keep the protection of the mandatory laws of the country where you live, and you may be able to bring claims in your local courts.

Before going to court, please email [email protected] so we can try to sort things out informally.

12Changes to these Terms

If we make material changes, we’ll update the date at the top and tell you by email or in the app before they take effect. If you keep using Pawfile after that, the new Terms apply. If you don’t agree, you can delete your account.
